Candidate Management

The Persis workflows in the Candidate Management module

Whether you are searching for new employees or need to effectively process a large number of applications, your software must provide simple means to maximize your work performance.  Persis provides numerous built-in possibilities to achieve just this.

Read on for a short overview of the many possibilities:

  • The Persis Candidate Management / eRecruiting module allows you to collect and manage all internal and external applications for positions ranging from traineeships to upper level management.  With Persis you frequently receive overviews of each application’s status and all data relevant thereto.  Not only does Persis differentiate according to the layouts of various positions, but it also uses surveys tailored to each relevant target-groups.  Obviously, questions from interns regarding salary or seminars are irrelevant.
  • Simple editorial functions for open positions allow you to quickly post job announcements and publications in your HR-portal or external job exchanges. Here Persis uses position-dependent, dynamic applicant surveys, which only ask the relevant questions, which you can pose yourself (field names, fade in/out, master data storage, compulsory fields, etc.). By coupling this with our Competence Management module, you can also receive a direct assessment of the competences relevant to the position on demand. Of course, in addition to solicited applications, initiative applications are also supported and themselves can be collected with or without a personal login.
  • The Candidate Management / eRecruiting  module offers practical detail functions as well, like double entry recognition for particular applications, which themselves can be included in the master data file as an additional application. And of course paper applications containing scanned attachments can be processed. Particularly useful is the module`s ability to depict whether a particular applicant fulfills the requirements for a respective position. A simple stop-light assists in quick recognition of top talents. Moreover, applicants interested in submitting initiative applications can also find a list of recommendations for potential vacant positions.  Who provides a complete overview of all requirements?  Persis does!
  • Flexible applicant-views provide you with desired data and a picture of the candidate, if requested.  Here one can search based on a variety of criteria or a digital CV can be uploaded by the applicant and viewed by Personnel.  All of this done from within the system and thus done with great security. Our standard settings prevent data from being sent per email, but rather all participants are given access to the system, so that you know when each individual had access to the files and the results thereof.  Forwarding files presents security hazards and moreover when an email is sent, the respective attachment could have been amended (e.g. address data) in the meantime.
  • Candidate management is eased through fostering communication between your data processing and e-mail system.  Here Persis is able – for mass actions as well (e.g. invitations to interviews) - to find the correct correspondence templates for each type of applicant, sensitive to the nationality and thus language of the applicant as well. Thus, depending on where the file is, Persis can send letters and emails, including time-delayed emails, and make these appear to the recipient as if they came another division.
  • Comprehensive reminder functions and workflow-support.  All processes relating to your daily work are provided at a glance.  The groups and tasks can be described in great detail over the rights management system.
  • Persis not only generates your reports, but expands this and produces meaningful statistics in numerous manners.  You can even import the reports directly into table calculations, e.g. MS-Excel.
  • Persis also manages master data like educational background, occupational history, media, cost centers, type of costs, knowledge etc. This then provides you with all master data as choice fields and you can then select from the data available in the standard data set.
  • Moreover, you specify the route of the application file.  The Persis Candidate Management module reminds you when application documents from the respective departments are overdue. Departments can also be reminded of deadlines per email automatically.
Candidate data can be viewed and processed over the HR-Portal, and your respective department is given the rights dynamically, meaning tasks appear only as workflows emerge so as to further streamline your activities.
  • Custom and individually designed or specified selection filters assist your selection of the correct application data.  Your can define many individual features on your own, like the selection filter itself.
  • Freely definable individual or serial letters for all occasions (receipt confirmations, interim notices, rejections, contracts etc.) allow for fast communication, via email as well.
  • Producing agreements to assist business intern workforce in completing their studies (IHK-contracts) can also be done in the Candidate Management module.
  • At system set-up, data from the Candidate Management module is synchronized with the other Persis Modules automatically.  And if desired, this can be executed on your payroll system simultaneously as well.  The applicant`s files can thereby be completely transferred into the Persis system!
  • Internet-/intranet functions for job postings and advertisements allow you to collect applicant data in a structured manner, which is the very basis for professional candidate management.
  • You may also transfer the applicant data into a table calculation easily.
